2. OVERVIEW OF SERVICE

Where the Wye Wanders (“we”, “us”, or “the Agent”) provides a digital platform that connects guests with independently owned holiday accommodation and experience providers in the Wye Valley and Mid-Wales region. We do not own or manage any properties or venues listed. Our role is to facilitate bookings and offer curated access to trusted local listings.

3. LISTING TERMS FOR PARTNERS

3.1 Multi-Service Providers

  • All listings must refer to a single category only (e.g. accommodation OR activity). If a provider offers both, each must be listed separately and paid for independently.

3.2 Availability and Double Bookings

  • Availability calendars must be kept up to date.
  • In the event of double booking, the accommodation provider will be liable for a 10% lost commission fee.

4. GUEST BOOKINGS

4.1 Deposits & Payment Schedule

  • More than 8 weeks before stay:
    50% non-refundable deposit is required upon booking
  • Less than 8 weeks before stay:
    Full payment is required at the time of booking
  • Balance Due:
    8 weeks prior to arrival. If unpaid, booking may be cancelled and deposit forfeited.

4.2 Guest Booking Fee

A booking fee of £5 per night, capped at a maximum of £25, applies per accommodation booking, paid by the guest at checkout. This fee covers administrative costs and is non-refundable.

4.3 Cancellations by the Guest

  • More than 8 weeks before stay:
    Deposit and booking fee are non-refundable. Additional payments may be refunded at our discretion, less a £100 admin fee.
  • Less than 8 weeks before stay:
    No refunds will be given. We strongly recommend travel insurance.
  • If we manage to rebook the property, a partial goodwill refund may be considered at our sole discretion.

4.4 Cancellations by the Host

Hosts are obliged to honour all confirmed bookings. If they cancel, they may be liable for additional costs in rebooking guests and will be charged lost commission and potential admin fees. If the hosts cancels, the Agent will try to rebook alternative accommodation in the same area for the customer, but we cannot guarantee that alternative accommodation will be available.

5. RELATIONSHIP BETWEEN PARTIES

  • We do not act as a property manager or principal in any transaction.
  • The contract for accommodation or activities is between the guest and the host directly.
  • All complaints must be raised with us in writing, and we will mediate where possible.
  • We reserve the right to suspend or remove any listing at our discretion if terms are breached.

6. GUEST OBLIGATIONS

By booking through our site, Guests agree to:

  • Pay required deposits and balances on time
  • Respect the terms of their accommodation or activity
  • Contact us for any concerns or cancellation requests
  • Acknowledge we do not own the properties or services provided
  • Understand that refunds are not guaranteed unless stated

8. LIABILITY

  • Where the Wye Wanders acts as an agent only and accepts no responsibility for:
    • Loss, damage, or dissatisfaction related to your stay or activity
    • Insurance claims or injury during your visit
  • Hosts and guests are responsible for obtaining their own insurance.
  • Nothing in these terms excludes liability for death, personal injury or fraud.

9. CHANGES & TERMINATION

  • We reserve the right to update these terms at any time.
  • Providers may terminate their listing with reasonable written notice.
  • We may remove listings for breaches of contract or guest complaints.
  • All existing bookings must be honoured even if a listing is removed.

10. PRIVACY & DATA

  • We collect and store your data for the purpose of providing our services.
  • We do not sell your data to third parties.

11. GOVERNING LAW

These terms and conditions are governed by the laws of England and Wales. Any disputes shall be handled in English or Welsh courts.
